The post-event report

A PDF summary of your event for sponsors, funders and your team.

After your event, Yuyu can put the whole story into a tidy PDF: who signed up, who came and when, what was on the programme, and what people thought. It's made for sharing with sponsors, funders, venue partners or your own team, so it holds counts only and never names a guest.

Downloading the reportLink to this section

  1. Open the event from your dashboard. The event must have finished.
  2. Choose Download PDF report at the top of the event, or open the Analytics tab and choose Download report (PDF).
  3. Save the PDF, or open it straight away.

Before the event ends, neither button appears. Each download is recorded in the organisation's audit log.

Recurring seriesLink to this section

Each date in a series has its own report. Open the series from your dashboard, and under Reports, choose Download PDF report next to the date you want. Only dates that have finished are listed. See Recurring series.

What's in the reportLink to this section

The report opens with the event itself: its date and time, place, visibility and capacity, and a sentence summing up how many people signed up, had a place, were checked in and gave feedback. Two rows of headline numbers follow:

  • Attendance: signed up, going, checked in, and feedback responses.
  • The event: sessions, speakers, tracks, sponsors, resources, emails sent, invitations, questions on the sign-up and feedback forms, and co-organisers.

Then come the sections:

SectionWhat it covers
RegistrationsHow many signed up, got a place and came; capacity; the first and busiest sign-up days; teams and solo registrants on team events; invitations; and a chart of sign-ups over time.
At the doorWho was checked in and who didn't come, the first check-in, the busiest time, a chart of arrivals, and how people were checked in: on organiser devices, offline then synced, or at the door station.
ProgrammeThe published sessions, speakers and sponsors, as they appeared on the event page.
FeedbackHow many people answered the feedback form and the response rate, whether certificates were offered, and a count of answers for each question.
Registration answersA count of answers for each sign-up question, from the people going.
Emails and teamThe emails you sent to guests from Yuyu and how many people each went to, and how many co-organisers helped.

Programme, Feedback and Registration answers only appear when the event had sessions, speakers or sponsors, a feedback form, or sign-up questions. If nobody was checked in with Yuyu, At the door says so.

It closes with About this report, which says when it was made. All times are in the event's time zone.

What's left outLink to this section

The report is meant to be shared, so it leaves out anything personal:

  • No guest is named.
  • No email addresses, phone numbers or ticket links.
  • Typed answers, in the sign-up form or the feedback form, are counted but never quoted. Choice answers, such as "Excellent" or "Vegetarian", are shown as counts.
  • Confirmation and ticket emails aren't listed under emails.

Speakers and sponsors do appear by name, because they're already public on your event page.

Good to knowLink to this section

  • The numbers reflect Yuyu's records at the moment you download. If you check in a late arrival or more feedback comes in, download the report again.
  • The same numbers are on the Analytics tab while you're working. See Analytics.
  • Check-ins you recorded some other way, such as a paper list, aren't counted.
