Cloning, cancelling and deleting
Reuse an event as a template, call one off, or remove it.
When an event goes well, you'll want to run it again. When plans change, you may need to call it off. This page covers copying an event as a starting point, cancelling one and letting guests know, and deleting an event for good.
Clone an eventLink to this section
Cloning makes a new draft event with the same core information, so you don't start from scratch.
- Open the event you want to copy and choose the Settings tab.
- In Run it again, choose Clone event.
- Yuyu opens the new event's dashboard. Its title ends in (copy).
- Go to Event page → Details, update the title, dates and anything else that's different, and save.
The copy is always a Draft, so nothing goes public until you publish it. You need a verified email address to clone.
What's copiedLink to this section
- Title (with (copy) added) and cover image
- Start, end and time zone
- Location, map link and whether it's online
- Capacity, who can find it and whether you approve sign-ups
- Team registration settings
- The Hackathon emails switches (results emails and submission receipts)
- Whether a guest's No to an attendance confirmation frees their place
What isn't copiedLink to this section
- Guests, crew, invites, check-ins and feedback
- Attendance confirmation questions and answers
- The event page content: tagline, logo, accent colour, sections, highlights, speakers, sponsors, resources, FAQs and the programme
- Registration form questions, emails, the feedback form and certificate
- Co-organisers, tags, the short link, and the sign-up closing rule
Cancel an eventLink to this section
Yuyu doesn't have a separate cancel button. To call off an event, tell your guests, then take the event down:
- Open the Emails tab and start from the Event cancelled template. Choose who should get it, check the message and send it. See Emailing your guests.
- Open Event page → Details, and in Publishing choose Offline.
- Choose Save changes.
An offline event's page and link stop working and sign-ups close, but the guest list is kept. You can bring it back later by choosing Live again.
Send the email first: once you delete an event, you can no longer email its guests.
Delete an eventLink to this section
- Open the event and choose the Settings tab.
- In Delete event, choose Delete event….
- Type the event's address (the last part of its link, shown in Event address) to unlock the button.
- Choose Delete event.
Yuyu takes you back to your organisation's dashboard. The event's link and short link stop working.
Which should I use?Link to this section
- Running it again next month or next year? Clone it, or for a regular meetup, use a recurring series.
- Called off, but you might reschedule? Email guests and take it offline. Change the dates and make it live again when you're ready.
- Created by mistake, or no longer needed at all? Delete it.
- Finished normally? Leave it. Past events stay on your dashboard under Past, with their analytics and report.
